Office and Volunteer Services Manager

The Office and Volunteer Services Manager directly assists the Executive Director, manages the organization’s volunteer efforts, and manages administrative and logistical operations. The ideal candidate is flexible, patient and detail-oriented, with strong communication skills and a passion for cats and dogs. 
This position is 20-25 hours per week. The work schedule (days and shifts) will be discussed and agreed upon during the interview process. 
Responsibilities and Expectations:
  • Section I: Office Management 
    • Complete routine office admin tasks: maintain office and animal care supplies, respond to incoming calls and general email messages, manage mail processing, etc.
    • Manage databases for volunteers, donations, and animal records.
    • Manage administration of donor communication mailings throughout the year as needed: end of year appeals, donor reports, campaign mailings, event invitations, etc.
    • Process all incoming gifts: collect checks from mail daily; process donations; generate and send donation receipts; manage ED personal thank you notes to specific donors and send with receipts.
    • Other duties as assigned.
  • Section II: Volunteer Services Management
    • Assist in the implementation and continuous improvement of the volunteer program. 
    • Oversee the recruitment and orientation of volunteers; support and ensure a positive experience in their involvement in all levels of volunteering including open community events, animal care, office assistance, board and committee leadership, and more.
    • Other duties as assigned.
  • Knowledge of non-profit organizational culture and best practices. Certification is preferred.
  • Excellent organizational, interpersonal and communication skills both oral and written.
  • Ability to motivate, win commitment from and organize volunteers.
  • Excellent computer literacy and knowledge of database management.
  • Positive attitude, creative, flexible, proactive and works independently and within a team environment.
  • Demonstrates a high level of initiative, leadership qualities and professional decorum.
  • Ability to pass all background clearances.
Work Environment & Physical Demands: 
Animal rescue front desk. Exposure to felines and canines in work space. Must be able to meet the following physical requirements, with or without reasonable accommodation: Use hands to manipulate, handle, feel, and control items or equipment; Talk to other employees/clients and hear them; See and be able to read, write, and interpret written documents; occasionally lift and move objects weighing up to 15 pounds.
